VisualQuip Privacy Policy

This policy explains how VisualQuip handles personal information and business data across its company-managed products, including VisualQuip Cranes and VisualQuip Inspection, the website, support channels and related services. Product-specific permissions are described below.

1. Who this policy applies to

This policy applies to authorised users, company administrators, supervisors, managers, operators, inspectors, customer contacts, support contacts and other people who use or interact with VisualQuip.

VisualQuip is a company-managed business platform for crane operations, equipment records, field evidence, visual planning tools, inspection workflows where enabled, and related operational recordkeeping.

2. Information we collect

Account and identity information

  • Name, email address, phone number, job title, company, branch, role and permissions.
  • Authentication identifiers, session information, invite and password reset information.

Company and operational data

  • Crane, plant, equipment, rigging, site, job, booking, inspection, evidence and operational records.
  • Photos, documents, certificates, serial numbers, unit numbers, notes, statuses and related field records uploaded or managed by authorised users.

Mobile app data and permissions

  • Camera images for equipment tag/QR scanning, field evidence, photos and visual crane tools where enabled.
  • Selected photo library images for field evidence or operational records.
  • Microphone audio only when an authorised user records voiceover audio for company-enabled AR crane recordings or voice features.
  • Location or motion-related data for site traceability or visual crane tools where enabled.
  • Local network access only if company-enabled nearby-device visual recording features are active.
  • Device, app version, diagnostic and crash information needed to operate, secure and troubleshoot the service.

VisualQuip Inspection

For the first-release VisualQuip Inspection workflow:

  • The camera is used to scan equipment tags and capture inspection evidence photos.
  • Photo-library access is used when a user chooses an existing image as inspection evidence.
  • Precise location may be captured only after a user deliberately requests a one-off reading for an inspection or job milestone. VisualQuip Inspection does not continuously track location.
  • Inspection outcomes, notes, job links, inspector identity, timestamps, photos and optional location evidence may be linked to the user and company workspace for operational recordkeeping.
  • Incomplete inspection work may be stored locally on the device until it is synced or deliberately removed. The app distinguishes locally saved work from records confirmed by the company system.
  • The current VisualQuip Inspection first-release scope does not use AR, microphone recording or Local Network collaboration.

VisualQuip Inspection does not sell personal information and does not use inspection data for advertising tracking.

3. How we use information

  • Provide, operate, maintain and secure VisualQuip.
  • Authenticate users and apply role-based company/workspace permissions.
  • Maintain crane, equipment, inspection, field evidence and operational records.
  • Support visual planning, AR review, field workflows, reporting and support.
  • Troubleshoot, improve and protect the app and services.
  • Comply with legal, regulatory, tax, accounting, App Store and contractual obligations.

VisualQuip does not sell personal information and does not use app data for advertising tracking.

4. AI and automated assistance

Where AI assistant features are enabled, VisualQuip may process prompts, uploaded documents or images, transcripts, assistant responses, tool results and usage metadata to provide the requested feature. AI outputs are support tools only and do not replace competent human judgement, certified data, manufacturer information, approved company procedures or statutory requirements.

5. Disclosure and service providers

Information may be disclosed to authorised users within the relevant customer workspace, service providers who host or support VisualQuip, app platform providers, support and communication providers, professional advisers, regulators, or where required by law.

VisualQuip may use providers such as hosting, database, email, payment, app distribution, analytics, diagnostics or AI infrastructure providers. These providers may process data in Australia or overseas.

6. Security

VisualQuip uses technical and organisational controls designed to protect information, including authentication, role-based access, tenant isolation, encrypted transport, least-privilege access, logging and operational monitoring. No system is completely secure, and users must protect their credentials.

7. Access, correction and deletion

Users may request access to, correction of, or deletion of personal information by contacting their company administrator or VisualQuip support. Some information may need to be retained for legal, security, audit, backup, billing, compliance or legitimate business reasons.

8. Children

VisualQuip is a business service and is not intended for children.

9. Changes

VisualQuip may update this Privacy Policy from time to time. Material changes may be communicated through the app, website, email or other reasonable means.
